What should a useful marketing agency client report contain?
Show the client's objective, the reporting period, a few clearly defined measures, what changed and the next decisions. Distinguish activity such as messages or calls from outcomes such as qualified conversations or completed purchases. Record the source and denominator for each metric so the client can reproduce the result. End with named actions and dates.

Agree on what each number means
Start with the decision the report will support. A service-business client may want to know whether inquiries are reaching the team and becoming booked work. That requires a chain of measures: inquiries, attempted contacts, answered conversations, bookings and completed work. Each step describes a different event.
Write a definition and source beside each metric. For example, Qualified conversation could mean a staff-confirmed discussion meeting the client's stated service criteria. A call-duration rule is a different measure and should be labelled as that rule, even if it is used as a convenient conversion signal.
Choose equal date windows and a shared timezone. Record exclusions, test records and any missing data. When source systems have different timing or attribution rules, explain the difference in the report rather than forcing the totals to match.
Assemble the report from verifiable records
The downloadable worksheet is a reporting specification and review log. It does not query account data or create an automatic dashboard.
- Open the correct Chirply account and record its name, reporting window and business timezone in your report.
- Open Dashboard for the operating overview, then use the underlying contact, task, pipeline or call record to verify the specific number you intend to report.
- For call campaigns, open Phone → Call Tracking and distinguish tracked, answered and converted calls. Record the campaign's conversion definition.
- For native forms, open the form's Results tab. Its overview tiles are lifetime counts, so label them accordingly instead of presenting them as a selected monthly window.
- Enter each metric, source, numerator and denominator in the worksheet. State whether a number is a count, rate, currency value or estimate.
- Review a small sample of underlying records with the account owner, then attach a specific next action, responsible person and due date to each material finding.
Explain a rate with its denominator
In an illustrative report, 18 answered calls from 24 tracked calls gives an answer rate of 75%. That says nothing by itself about qualified opportunities or collected revenue. If six answered calls met the team's qualification definition, report that separately with its own denominator.
Pair the finding with a decision: review the six unanswered calls and check whether the routing schedule covered the inquiry times. This action is more useful than a general instruction to improve performance. Record the later result against the same definition.
Keep forecasts, deal values, invoiced amounts and collected payments distinct. Each describes a different stage of the commercial process. This worksheet helps document definitions; use the appropriate system of record for financial figures.
Make the next report comparable
Keep a dated copy of the definitions and mark any method change. If a campaign begins using a different conversion signal, report the date and show the new series separately where needed. A change in measurement can look like a business trend.
Finish with three concise items: what happened, what the evidence supports and what the team will do next. Give the client a way to ask about the underlying records. Avoid presenting attribution as certainty when several channels contributed to the same customer journey.
Readiness checklist
- Client objective stated
- Comparable window and timezone recorded
- Metric sources and denominators named
- Test records and exclusions explained
- Activity separated from outcomes
- Actions have owners and dates
Record the account, test date, result and responsible person for each check. Use this as your handoff record.
Common questions
Should client reports contain every available metric?
Choose measures that support the client's current decisions. Keep source detail available for investigation while the main report explains the objective, evidence and next actions.
Can the form Results totals be used as monthly totals?
The overview tiles describe lifetime activity. Use appropriately dated underlying records for a period-specific report and state the method you used.
