How should a business compare CRM platforms?

Define the customer journeys you need, identify the plan and connected services required, and test the same acceptance cases in each product. Record evidence for access, migration, everyday operations and total operating cost. Use a weighted scorecard only after deciding which requirements are essential; a high average score cannot replace a required capability.

CRM evaluation scorecard

Set essential requirements and weights, then enter scores only after checking evidence.

Download CSV worksheet

Open the CSV in your spreadsheet app, replace the illustrative rows and record your actual results. This planning file leaves your Chirply account unchanged.

What the worksheet records

  • Requirement
  • Essential
  • Weight
  • Product and plan
  • Score 0 to 5 or unknown
  • Evidence
  • Usage or cost assumption
  • Decision note

Compare complete workflows

Choose three representative journeys, such as inquiry to assigned follow-up, booking to reminder, and client setup to daily operation. Write the start event, people involved and observable finish. This gives every product evaluation the same task rather than a different collection of feature names.

Mark each requirement as essential or useful. Examples include a particular role boundary, a supported provider connection or an existing-number requirement. Record the source for the claim and the result of your test. A public feature description is a starting reference, while your acceptance case checks the intended use.

For an agency, include client branding, access governance and who owns connected services. For an individual business, include who handles replies and exceptions. Product suitability depends on the operating model as well as the visible interface.

Run a comparable evaluation

Use controlled data and current vendor-owned documentation. The scorecard is an editable planning worksheet, not an independent product ranking.

  1. Write the three journeys and their essential requirements in the worksheet before assigning scores.
  2. Open each vendor's current plan and documentation pages. Record the plan name, relevant limits, connection requirements and date checked.
  3. For Chirply, review Pricing, the Handbook and the relevant setup guide. Choose the plan and provider configuration that support the intended workflow.
  4. Run the same controlled acceptance case in each available evaluation environment. Record the result and evidence rather than assuming similarly named features behave identically.
  5. Inventory migration items separately: contacts, custom fields, workflow logic, conversations, domains, numbers and historical reporting. Confirm a supported path for each required item.
  6. Review essential requirements first, then compare weighted scores and operating costs with the people who will use and maintain the system. Record the decision and unresolved evidence.

Build an operating-cost worksheet

Separate subscription cost, connected-provider usage, optional services, setup effort and ongoing administration. Use current prices from the actual vendor and provider accounts. A subscription's included access does not establish that calls, messages or AI usage have no provider charge.

For an illustrative score, give workflow fit a weight of three and a tested score from zero to five. A score of four contributes twelve weighted points. Record the scoring scale so another reviewer understands it. Keep unknown evidence marked unknown instead of silently assigning a middle score.

Use estimated usage as an explicit assumption and record its source. Review a low, expected and higher usage scenario if volume is uncertain. This guide provides a method for comparison; it makes no claim that one option is universally cheapest.

Make the decision reproducible

Write why the chosen option fits the required journeys, which tradeoffs the team accepted and what must be verified before rollout. Link the scorecard to the pilot records and current plan sources. Keep migration readiness separate from the purchase decision.

After the pilot, use the onboarding and migration guides to prepare an implementation sequence. Recheck material requirements when a plan, provider or operating need changes. An evaluation becomes more valuable when the team can see the evidence behind it.

Readiness checklist

  • Representative journeys defined
  • Essential requirements separated
  • Current plan sources dated
  • Controlled cases tested consistently
  • Migration and usage assumptions recorded
  • Decision owner and open evidence named

Record the account, test date, result and responsible person for each check. Use this as your handoff record.

Common questions

Can a weighted score override a missing essential requirement?

Treat essential requirements as an explicit decision gate. Weighted scores help compare suitable options after those requirements are verified.

What should a CRM cost comparison include?

Include the selected subscription, provider usage, optional services, setup work and ongoing administration. Label usage estimates and cite the current price sources.
