Client Onboarding Checklist: Owners, Access & Handoff

Build a repeatable client onboarding process with named owners, access checks, a pilot workflow and a downloadable handoff worksheet.

What should a CRM client onboarding checklist include?

Record the client's intended outcome, responsible people, required access, data sources, connected services and first acceptance test. Give every item an owner, due date and evidence of completion. In Chirply, a process pipeline can track the stages while contact tasks hold the next action. Verify one complete customer journey before handing daily operation to the client.

Client onboarding handoff worksheet

Replace the illustrative rows with your client stages, owners and acceptance evidence.

Download CSV worksheet

Open the CSV in your spreadsheet app, replace the illustrative rows and record your actual results. This planning file leaves your Chirply account unchanged.

What the worksheet records

  • Stage
  • Deliverable
  • Owner
  • Due date
  • Acceptance evidence
  • Status

Agree on the first useful outcome

A useful onboarding plan begins with something the client can observe: an inquiry reaches the right person, a booking appears on the calendar, or an invoice is ready for review. Write that outcome in one sentence. List the people who approve the setup and the person who operates it after launch.

Separate business decisions from configuration. The client supplies service names, business hours, approved wording and who receives inquiries. The implementation owner configures the selected tools and records a test. This division makes progress visible even while access to a connected service is being arranged.

Use the worksheet to collect decisions rather than passwords. Keep credentials in the service's supported connection flow. Confirm the agency's agreed access to the client account and use the product's access controls; possession of a checklist does not authorize access.

Turn the checklist into a process board

An illustrative board uses Agreed scope, Access ready, Pilot ready, Client review and Handoff complete. These are example stages; choose names that describe your delivery process.

  1. Open Pipeline in the account responsible for the implementation and select the board you intend to use.
  2. Open Settings and set What this board is for to A process when you want steps and cards without monetary totals. Existing values remain stored when the display mode changes.
  3. Use Add a stage and each column's gear to create or rename your delivery stages. Record the evidence required to leave each stage in the worksheet.
  4. Create a deal card attached to the relevant contact. Give it a clear client and project name; a contact can have more than one deal.
  5. Open the contact and use Add task for the next owner action. Include the expected result, due date and where the evidence will be recorded.
  6. Move the card after the stage's evidence is checked. Review any Deal stage changed automations before moving a real card because the transition can start configured actions.

Run a complete pilot before handoff

For a service-business example, submit the published inquiry form with a controlled address. Check its contact record, the assigned task, the reply destination and the staff member's access. Record the actual result beside the expected result. A form preview alone does not establish that the published handoff works.

Ask the person who will operate the system to repeat the task using their normal sign-in. Check that they can find the record and understand the next action. Keep the pilot small enough that every generated message and task can be accounted for.

Agree on what happens after launch: who checks exceptions, how a client asks for help and which changes need approval. A completed setup is easier to maintain when the handoff includes these responsibilities.

Use evidence to resolve a delayed handoff

When an item is waiting, record the missing decision or access and its owner. When a test fails, link the specific record or run and describe the observed behavior. Avoid marking a whole stage complete because one connection succeeded.

For recurring work, review the worksheet after the first operating week and improve the reusable checklist. Keep client-specific facts in that client's record. A template provides a starting structure; each new client still receives its own access, billing and journey checks.

Readiness checklist

  • First outcome and approver agreed
  • Access granted through supported controls
  • Required service owners identified
  • Pilot journey recorded
  • Operator repeated the everyday task
  • Support and exception owner named

Record the account, test date, result and responsible person for each check. Use this as your handoff record.

Common questions

Can onboarding use a pipeline without deal values?

Yes. Pipeline Settings offers A process for a board organized around steps and cards. Switching display mode preserves values already stored on cards.

When is a client ready for handoff?

When the agreed acceptance test passes and the day-to-day operator can repeat the workflow with their own access. Record remaining items and ownership explicitly.
