How should a business collect testimonials for publication?
Collect the customer's actual words, record the context and obtain clear approval for the quote, attribution and placement you intend to publish. Keep the approval evidence with the final wording and assign an owner for later changes. A private feedback response, a review-site click and permission to reuse a testimonial are separate records.

Give each part of the process its own record
A review request invites feedback. A private response helps the business understand an experience. A public review belongs to its destination platform. A testimonial used in your own marketing needs a record of the exact words and approved presentation. Keeping those records distinct makes the collection process easier to explain and maintain.
The worksheet is an operational permission log, not a legal release form or an automatic permission service. Use your organization's appropriate approval process for the intended use. Record a reference to the approval evidence rather than treating a positive rating as permission to publish.
Ask about the result the customer actually experienced. An illustrative prompt is: What did you use the service for, what changed for you, and what would you want another customer to understand? Keep the answer in the customer's own meaning and avoid adding unsupported performance claims.
Collect feedback and review the publication decision
Chirply's Reputation area supports review links and personal requests. The publication log remains a separate review process.
- Open Reputation and choose the correct location. Verify the location name and the actual review destinations.
- Open Review page settings and review the routing. For equal access to public review sites after either experience path, choose Offer review sites to everyone and save.
- Use Preview to inspect both paths. Preview allows checking the experience without saving responses or counting review-site taps.
- For a personal request, use Ask for a review and select the intended contact. Copy a link creates the request link; Text it and Email it send real messages through the connected providers.
- Review the resulting response in context. If you want to quote it in marketing, request approval for the exact final wording, attribution and placement through your approved process.
- Record the approval reference and final published location in the worksheet. Assign a person to handle corrections, withdrawal requests or changes to the intended use.
Make the approval request specific
An illustrative request can say: May we use the following quote on our website's customer stories page, credited to your first name and company? Then show the exact proposed quote. If you plan to add a photo, logo or paid-ad placement, include that intended use in the approval discussion.
Preserve the original response alongside the proposed quotation. When shortening a quote, check that the edit preserves its meaning and have the final wording reviewed. Keep any numerical result tied to the customer's actual evidence and context.
For public-review platforms, follow the destination's current rules. Google's policy prohibits incentivized reviews and selectively soliciting positive reviews. Offer a fair invitation to eligible customers and treat service recovery as useful work in its own right.
Report collection and publication separately
Track requests, responses, approvals and published testimonials as different stages. A tap on a review destination indicates a visit, not proof that a public review appeared. Verify publication from the destination or a synchronized review record.
Before reusing an approved quote in another placement, check the recorded scope and obtain any needed new approval. A dated inventory lets the marketing owner find where a quote appears and update it consistently.
Readiness checklist
- Original words and context preserved
- Review access checked on both paths
- Quote and attribution specified
- Approval evidence referenced
- Published locations recorded
- Change-request owner assigned
Record the account, test date, result and responsible person for each check. Use this as your handoff record.
Common questions
Does a positive private response authorize marketing reuse?
Treat feedback and marketing permission as separate records. Obtain approval for the intended quote, attribution and placement through your appropriate process.
Does this worksheet automatically obtain permission?
It records the process and evidence. A team member still needs to request, review and document the approval before publication.
