How do you set up appointment reminders in a CRM?

Configure reminders on the event people actually book, choose the channel and timing, and verify the message against a controlled appointment. Check the date, timezone, location and reply path, then test a reschedule and cancellation. In Chirply, Scheduling event types offer email or text reminders at selected intervals before the booking.

Make the reminder useful to the attendee

The attendee needs to recognize the business, identify the appointment and know how to join or ask for a change. Include only the information necessary for that step. A reminder for an in-person appointment needs different location information from a video consultation.

Choose timing around the service and the team's availability. Chirply offers intervals including one week, one day, two hours, one hour, thirty minutes and fifteen minutes before. These are available choices, not a recommended universal cadence. Use the worksheet to record the timing you actually select.

Confirm the sender and reply coverage before enabling real messages. Email and text use configured sending services and their usage costs. Select channels consistent with the attendee's request and the communication permissions your business maintains.

Configure the event type and controlled booking

Use an owner or admin sign-in to edit event types. Keep the published booking experience and the staff calendar in the same test.

  1. Open Scheduling and open the intended event type, or choose New event type for a new bookable meeting.
  2. Review the name, description and Type of meeting. One-on-one is the default; group, collective and round-robin meetings have different host and capacity behavior.
  3. Check Timing & availability, including length, buffers, minimum notice and booking horizon. The default booking horizon is 60 days; choose the value that fits your operation.
  4. Review Where it happens and the actual meeting link, address or call instructions. Confirm the booking questions collect any contact detail needed for the selected reminder channel.
  5. In Reminders, choose the email or text timing you intend to use. Review the confirmation message and save the event type.
  6. Open the public booking link and create a controlled booking. Inspect the appointment and matched contact, then verify the reminder's actual content and delivery at the selected time.

Test the appointment lifecycle

Reschedule the controlled booking and verify that future reminder behavior follows the changed appointment. Cancel a separate controlled booking and check its later messages. Record observed behavior rather than assuming a calendar change updates every independently configured workflow.

Appointment booked, canceled, rescheduled and no-show events can start workflows. If you use both built-in reminders and a workflow, inventory both so the attendee receives the intended cadence. A reminder test should account for all configured send paths.

For an illustrative consultation reminder, the message might say: Your consultation with Example Studio is tomorrow at the time shown in your booking confirmation. Use your booking link to review the location or arrange a change. Replace the example with actual booking fields and verified instructions before use.

Check availability and sender issues separately

If the visitor sees no suitable slots, review weekly availability, busy connected-calendar periods, minimum notice and buffers. A new availability schedule begins Monday–Friday, 09:00–17:00; the timezone comes from Business profile. Those settings affect booking availability rather than proving reminder delivery.

If the booking exists but the message is absent, inspect the configured reminder channel, required contact detail and sending connection. Check the relevant records before editing the cadence. Keep a dated lifecycle test with the event type's operating notes.

Readiness checklist

  • Event and meeting type checked
  • Timezone and location verified
  • Reminder channel and timing recorded
  • Controlled delivery inspected
  • Reschedule and cancellation tested
  • Reply owner assigned

Record the account, test date, result and responsible person for each check. Use this as your handoff record.

Common questions

Which reminder intervals are available?

The event editor offers email or text at one week, one day, two hours, one hour, thirty minutes or fifteen minutes before the appointment. Review the actual selections on your event type.

Should a workflow duplicate the event's reminders?

Inventory both send paths and choose a deliberate combined cadence. Test booking changes across every path you enable.
